A key way to work with and import/export data with external systems is by using spreadsheets, the most universal format of which is CSV (comma separated values). All spreadsheet programs work with CSV files, as do most programs you might work with, including financial, faxing, bulk mailing, label makers, mapping, etc.

The Project Printout report -- a report that is run for an individual Project, summarizing that entry and its linked items -- can optionally include some totals from those linked items. Total costs vs. revenue, and the deal close rate give valuable insight to the profitability of a project.
A View file for Data Analysis is a saved arrangements of columns, sort, expansion, filters, etc. This allows one User to create a favorite and useful view, then share it with the rest of the company.
Data Analysis is my preferred choice for reporting in MRSware. With Data Analysis you can manipulate the table with the data by sorting, filtering, using pre-set calculations, and even adding custom calculations to the columns.
Once you have taken the time to get your report exactly the way you want it, you can save the view so next time you open Data Analysis, you don't have to move the various dimensions around to get it back to your preferred view. The Customer Touch Points vs Sales Dollars report gives us an insight into the different ways in which Users can link contacts and companies in the system. In our various Activity lists in the system, the system automatically rolls-up activities from the individual level to the company level, so that the Company Activity list shows all items that were directly linked to the company as well as those that were linked to individuals at the company. This roll-up provides an easy way to see an overview of everything going on within the company.
This report is a great customer and territory management tool, to help Users identify where time is being spent in the field as compared to the sales dollars for each customer visited. The report shows a running total of touches made to customers (and contacts at those customers) and compares these to the sales dollars over time.
Data Analysis
The most requested sales dollar summary fields from the Customer Sales by Rep and Principal Sales by Rep reports can now be found in a new Data Analysis cube titled Sales Summary Analysis. How to run the data analysis cube:
Why use Data Analysis instead of the Report Explorer? The reports in report explorer are great for quickly generating sales data for print or e-mail; the PDF formatting in particular lends itself well for either of these jobs. Data Analysis allows users the additional flexibility to sort and filter the sales data to see just what the user is interested in. For example, a sales rep could filter the cube view to show just a particular customer and the lines he is buying from in order to share this information with the customer. Now that the calendar year is ending many of you, who use the calendar year for accounting*, will want to review your sales numbers by Principal.
You can see what each Principal represents, percentage wise, of your total sales last year by going to Data Analysis. Very similar to the previously announced "Sales Summary" report, the "Sales and Commissions" report provides a more concise and flexible view into sales and commissions activity at the company. This report is available in all installations that use the Invoice Entry/Customers/Principals module. This report is accessed in the Report Explorer with other available reports.

The Product Customers report in Report Explorer answers this question. It shows all of the customers who have purchased the specified product number in the selected date range. The report can be sorted by: 1. Sales (top 10) Lists the top 10 customers by sales volume for the product. 2. Sales (top down) Lists all customers purchasing the product in descending sales dollar order. 3. Customer Name Lists all customers in alphabetical order. The report can also be filtered by the Sales Rep on Invoice to get a list of customers for just the selected Sales Rep. Customer The Customer's name. Quantity The number of units purchased by this customer. Average Price The average selling price of the product from all sales to this customer. Total Sales Total dollar value of all purchases of this product by the customer. % of total Percentage of sales of this product to this customer of the entire sales volume of the product. "customer sales"/"total product sales" "What are my top selling Products, and who is buying them?"
The Product Sales report shows the 20 products with the highest total sales for the selected date range. The report shows the Item Number, Manufacturer of the item, and its Description. For each item the total quantity sold, average sales price of the product, and total sales volume is shown. Users can now filter the journal reports by individual or group contacts and companies.
On the Journal Activity by User and Journal Sales Activity by User reports there is now a "Contact Name" field. This field acts as a filter to the reports to allow you to select Contacts or Companies by name for the report. Here are some examples on how to use it:
The Sales Rep Recap report is a summary report for the individual sales rep or sales territory. In contrast to some of the other reports that are typically run on a monthly basis for a month's-worth of time, the Sales Rep Recap is intended to be run for a longer time period and draw out in summary the important sales events in that duration. Try running this report for a quarterly or semi-yearly summary of sales activity for the rep.
The New Customer report in Report Explorer answers the questions "Who are my new customers?" and "Where did they come from?" "Are they coming back" is not covered in this report.
Who are my new customers The report lists any new customers within the selected time range. A new customer is defined by us as a customer that has made a new order within the selected time range, where they have not purchased in the previous 1 year period to that time range. For example, entering From 1/1/2009 To 3/19/2009 will give you all of the customers that have made a purchase between 1/1/2009 and 3/19/2009 who did not make any orders between 1/1/2008 and 12/31/2008. This is a 1-year rolling timeframe for being designated as a "new" customer. If you only purchase once a year, you are still not a new customer. If you purchase only once every 2 years, than you would show up on the report as a new customer. The optional Product details section will also show what they have purchased since becoming a customer. The Sales Summary and Sales and Commissions -based reports now have a new Parameter, "Include Hidden Customers". This option controls whether the report shows Companies that are marked with the Hide checkbox on the Edit Company dialog. Checking this option, which is the default setting, shows all of the Customers regardless of whether they are hidden or not. Unchecking this parameter tells the report to exclude from it any companies that are marked with the Hide checkbox.
The typical use for this option is to exclude from sales reports customers that are no longer in business, so that a comparison of sales dollars this year to last can be performed based on the realistic size of the market at present. Be careful when looking at total sales when customers are excluded from the report, as the number shown will not reflect the actual total sales of the company.
