This report is a great customer and territory management tool, to help Users identify where time is being spent in the field as compared to the sales dollars for each customer visited. The report shows a running total of touches made to customers (and contacts at those customers) and compares these to the sales dollars over time.

Did you know that you can turn off Shortcuts and New panel items that you don't use? You can also add Shortcuts for any of the functions that you use quite often. You make these changes by going to the Tools -> Preferences screen in MRSware, and simply check or uncheck any of the options you like or dislike.
It is very easy to assign categories in bulk once your contacts are in MRSware. However, if you already have those categories assigned in another program, it is best just to import them from there and save yourself the time of doing the same work again.
Data Analysis
The most requested sales dollar summary fields from the Customer Sales by Rep and Principal Sales by Rep reports can now be found in a new Data Analysis cube titled Sales Summary Analysis. How to run the data analysis cube:
Why use Data Analysis instead of the Report Explorer? The reports in report explorer are great for quickly generating sales data for print or e-mail; the PDF formatting in particular lends itself well for either of these jobs. Data Analysis allows users the additional flexibility to sort and filter the sales data to see just what the user is interested in. For example, a sales rep could filter the cube view to show just a particular customer and the lines he is buying from in order to share this information with the customer. Permissions in MRSware are controlled by a combination of the Type assigned to an item, the Managementstructure of the Users, and the Filters assigned to Users and Roles.
There are 3 Access Levels for Types in MRSware. These Access Levels control the permissions of the items where they are set. The three Access Levels are:
The Users section of System Administration is where all of the existing MRSware Users are shown, and where new Users are added. Users also contains the Roles, which are the permissions assigned to each person.
The Allow Send function in Mailboxes allows the System Administrator to set particular mailboxes so that e-mail messages can not be sent from them. The intended use of this function is for mailboxes where there might be an e-mail address that it is desirable to only allow inbound e-mail and not outbound from that address. A couple of examples...
Open the System Administration screen from the Go To menu. Open the Mailboxes listing, and Edit a mailbox. On the Add/Edit Mailbox dialog is the new checkbox Allow Send, uncheck the box to disallow sending from this address/mailbox. When a mailbox does not have the ability to send from it, and a message in that mailbox is Forwarded or Replied to, the message will default to come from the User's Default Mailbox, as set in their Preferences. Question:
Is there a way to transfer our expense reports, once they are approved and ready to pay, over to Quickbooks? Answer: Yes, like most areas within MRSware, the expense reports can be exported to a csv (comma separated values) file format and then imported to other programs, such as, in this instance, Quickbooks. Access to Mailboxes, and the e-mails contained within those mailboxes, is set in the System Administration section of MRSware, and generally controlled in two ways:
1. Through the Mailboxes listing, by checking the Users' names that should have access to the mailbox being added/edited. Now that the calendar year is ending many of you, who use the calendar year for accounting*, will want to review your sales numbers by Principal.
You can see what each Principal represents, percentage wise, of your total sales last year by going to Data Analysis. As part of every MRSware installation, EYOND offers full use of the MRSware Mail Servers. This allows users to make use of both incoming and outgoing e-mail through MRSware, and elleviates any need for purchasing mail services from other providers.
Q: I have changed my name, how do I change my Username and Mailbox.
A: First off, congratulations on your nuptials, or acceptance into the witness protection program. Second, there is no change for either of those things. The reason that I ask this is because I still need to go into Julian's folders & delete the e-mails there.
Also, if we do delete their mailboxes will anyone who sends an e-mail to that address receive an automated message that the e-mail address is no longer a valid address? A: Yes, to both your questions. You can delete a mailbox from the Mailbox listing in System Administration. If the mailbox is deleted, anyone that sends to that address will get a message that says something like "That mailbox does not exist" (the exact message comes from their own mail service, so it will vary). Here are a couple of options that you can also consider for handling any emails that might still be going to those old addresses: Q: It occurred to me as I am telling the team that they are now supposed to do their own updating on contacts and customers that someone might have the potential to blow up a major file. What are the backup systems for our files on MRSware?
A: There are actually several things that prevent/can prevent Users from deleting information. I'll go through them in the order that they would apply to the User: 1. There are permissions in System Administration that you can be set on any of the Roles to restrict the ability to delete items in the system. For example, the default permissions for a Sales Rep preclude them from deleting Customers or Invoices. You can override these, so do be careful not to give everyone all Roles in the system, eliminating this safe-guard. 2. Customers can't be deleted that have financials tied to them. Companies can't be deleted that have Customer entries tied to them. Contacts can't be deleted that have CRM Activity tied to them. These types of restrictions prevent the User from deleting entries that have other information in the system associated with them, especially data like Invoices, which the typical User can't delete. 3. There is a "Recycle Bin" feature that only the Administrators have access to, which allows the Administrator to undelete any item in the system that should not have been deleted. 4. And lastly, we do nightly backups of all information on the system and archive those for two months. Any individual entry can be recovered from these backups as required. Very similar to the previously announced "Sales Summary" report, the "Sales and Commissions" report provides a more concise and flexible view into sales and commissions activity at the company. This report is available in all installations that use the Invoice Entry/Customers/Principals module. This report is accessed in the Report Explorer with other available reports.

The former Agency Commission Statement and Sales Rep Commission Statement reports have been replaced with the new general report Commission Statement, and its summary versions of the same name as the previous reports.
Where once there were two reports, now there are three. Parameters The explanation of the paramters available on these reports is found in the MRSware User group forum post Commission Statement Report Parameters Commission Statement The main report of this group is the Commission Statement report, which contains all of available options and is the most flexible report to work from. Agency Commission Statement The Agency version of the Commission Statement summarized information of interest to the Owner/Business Manager. Sales Rep Commission Statement The Sales Rep version of this report shows the details for the sales rep and is suitable for inclusion with a sales rep's commission check. The Product Customers report in Report Explorer answers this question. It shows all of the customers who have purchased the specified product number in the selected date range. The report can be sorted by: 1. Sales (top 10) Lists the top 10 customers by sales volume for the product. 2. Sales (top down) Lists all customers purchasing the product in descending sales dollar order. 3. Customer Name Lists all customers in alphabetical order. The report can also be filtered by the Sales Rep on Invoice to get a list of customers for just the selected Sales Rep. Customer The Customer's name. Quantity The number of units purchased by this customer. Average Price The average selling price of the product from all sales to this customer. Total Sales Total dollar value of all purchases of this product by the customer. % of total Percentage of sales of this product to this customer of the entire sales volume of the product. "customer sales"/"total product sales" "What are my top selling Products, and who is buying them?"
The Product Sales report shows the 20 products with the highest total sales for the selected date range. The report shows the Item Number, Manufacturer of the item, and its Description. For each item the total quantity sold, average sales price of the product, and total sales volume is shown. Users can now filter the journal reports by individual or group contacts and companies.
On the Journal Activity by User and Journal Sales Activity by User reports there is now a "Contact Name" field. This field acts as a filter to the reports to allow you to select Contacts or Companies by name for the report. Here are some examples on how to use it:
Often times the company shares certain resources that are available to anyone to use. What we often need to do is track who has it at a given time, and reserve the use of it at a scheduled time.

The Sales Rep Recap report is a summary report for the individual sales rep or sales territory. In contrast to some of the other reports that are typically run on a monthly basis for a month's-worth of time, the Sales Rep Recap is intended to be run for a longer time period and draw out in summary the important sales events in that duration. Try running this report for a quarterly or semi-yearly summary of sales activity for the rep.
The New Customer report in Report Explorer answers the questions "Who are my new customers?" and "Where did they come from?" "Are they coming back" is not covered in this report.
Who are my new customers The report lists any new customers within the selected time range. A new customer is defined by us as a customer that has made a new order within the selected time range, where they have not purchased in the previous 1 year period to that time range. For example, entering From 1/1/2009 To 3/19/2009 will give you all of the customers that have made a purchase between 1/1/2009 and 3/19/2009 who did not make any orders between 1/1/2008 and 12/31/2008. This is a 1-year rolling timeframe for being designated as a "new" customer. If you only purchase once a year, you are still not a new customer. If you purchase only once every 2 years, than you would show up on the report as a new customer. The optional Product details section will also show what they have purchased since becoming a customer. We are often asked how to view the details of your monthly charges from EYOND.
Following are instructions to view and print your invoices: When you sign up for the MRSware service you will fill out a Commitment letter. The information contained in the letter allows us to enter your billing information in the MRSware billing screens.
If your credit card or bank account change for any reason, the billing information will need to be updated. You can enter your billing information directly into MRSware yourself. Here's how: When you need to disable a User account in MRSware, you can do so in the System Administration screen. Open the System Administration screen from the Go To menu (it is the last entry at the bottom of the list). In the Users listing, select the User you want to disable and select Edit. In the Edit dialog's first tab, uncheck Enabled and set the Disabled Date. When you save your changes, you will notice that the green flag next to the User name has changed to grey. That is all you need to do to remove the User's ability to login to the system, and remove them from the monthly billing.
