Data Entry Training

MRSware Enterprise Platform • EYOND, Inc.
WIIFM

When implementing a new software application, understanding what's in it for me is critical to getting everyone to buy-in.  Here are a few of the MRSware User benefits:
  • the database becomes the single, central repository of company information
  • all users have 24/7 access on their devices
  • sharing information between inside and outside teams improves collaboration
  • knowing where to find information improves everyone's efficiency and productivity
  • consistency in categorization of business associates enhances sales efforts
  • with a single database, it's easy to track activities and measure resulting sales

1. Building the Company Master List

The master list of companies is the foundation upon which all other information is built.  Everything added to MRSware is linked to your master list - orders, invoices, appointments, journals, tasks, opportunities, and more.  In MRSware use Companies and Contacts/Individuals to build your company master list.

What are the steps in building a company master list?
  • Segmenting Leads, Prospects, Customers
    • Types - use a broad descriptor to name the kinds of companies in the list
    • Categories - set up a consistent, company-wide list of categories to further characterize each company
  • Separating and tracking Branch Locations
    • Naming conventions - use consistent key words to reflect different locations for the same company
    • Contact Import - add contacts/individuals
    • Merge Duplicates - eliminate duplicate entries
  • Assigning Sales Reps, Territories, and Permissions
    • Sales Rep Management - add sales reps
    • Batch Edit, Bulk Assign - use system tools to match a customer to a sales rep/territory
    • Users/Roles - Set up permissions in the system

2. Mastering Data Import

Data Import can save large amounts of time by automating the entry of orders and acknowledgements, shipping reports, and commission statements. In MRSware use - Data Import Wizard and/or Sales Import.

How do I import my reports?  What should I use from the manufacturers' reports?
  • Practical use of Manufacturers Account Numbers
    • Accounts - sort, filter by individual manufacturers
    • Reports - track sales by individual manufacturers
  • Tracking Commissions and Splits
    • Sales Rep Management - set up commission split rates per sales rep/territory
  • Multi-stage imports: Order Reports/Acknowledgements, Shipping Reports, and Commission Statement
    • Import Wizard/Sales Import - use system tools to import a variety of manufacturer's spreadsheets

3. Generating Advanced Reports

While the manufacturer's reports are useful, they don't provide a broad view of your total sales or commissions.  In MRSware use - Data Analysis, Report Explorer, and a variety of table printouts.

What should I use to show the total spectrum of reports, from the broad agency view to the specific individual view?
  • Customer-facing vs. Revenue Recognition reporting
    • Sales reports - track monthly, quarterly, yearly reports
      • by agency, manufacturer, sales rep, customer, product
    • Commission reports - track monthly, quarterly, yearly reports
      • by agency, manufacturer, sales rep, customer, product
  • Tracking and paying Sales Rep Splits, Bonuses
    • Commission reports - track commissions due sales reps
      • track agency split vs sales rep split
        • monthly, quarterly, yearly
    • Bonus reports - track bonus' due sales reps
      • monthly, quarterly, yearly
