Starting in the latest MRSware Desktop update, you can now dictate your notes hands-free directly into Journals, Appointments, and text fields across the system.
Here is how you can use it:
- Toolbar Microphone Button: Open any Journal or Appointment add/edit window. Right next to the familiar Spell Check button on the main toolbar, you will see a new Microphone icon. Simply click it to begin voice typing immediately.
- Universal F8 Keyboard Shortcut: Prefer keeping your hands on the keyboard? Press F8 (or choose Tools → Dictate (F8) from the menu) at any time while working on the form to launch dictation instantly.
- Right-Click in Any Notes Field: Right-click inside any multi-line notes area to open the context menu. You will find Dictate (F8) sitting right beside Spell Check, Cut, Copy, and Paste.
🎯 Intelligent Field Targeting
You don’t just have to dictate into notes fields. MRSware Desktop includes smart focus resolution:
- Active Field Focus: If you click into a specific field—such as Subject, Description, or Location—and click the Microphone button or press F8, your speech dictates directly into that active field.
- Smart Default to Notes: If you haven’t selected a specific field (or if you click the toolbar button while focus is on a tab or header), MRSware automatically moves focus to the primary Notes text area, places the cursor at the end of any existing text, and begins dictation.

Behind the scenes, MRSware seamlessly integrates with modern Windows 10 and Windows 11 Voice Typing (Win + H). That means you get:
- Neural Speech Accuracy: Advanced speech recognition that understands natural conversational cadence and technical terminology.
- Punctuation Commands: Speak punctuation naturally as you talk. Say “period”, “comma”, “question mark”, or “new line” to format your notes on the fly.
- Quotes and Structure: Say “open quote” and “close quote” to record verbatim client requests or commitments.
When you’re done speaking, simply pause or tap the microphone overlay. All your text is cleanly entered into the record, ready to save.
🛡️ Automatic Microphone Hardware & Privacy Checks

- Before initiating voice typing, MRSware checks that an audio recording device is plugged in and active.
- It also verifies that Windows Privacy settings permit microphone access for desktop applications.
- If your microphone is disconnected or permissions are turned off, MRSware immediately alerts you with a helpful prompt and provides a direct one-click button to open Windows Settings (
ms-settings:privacy-microphone).
