MREPS – Multi-Warehouse Inventory Tracking & Stock Levels

The Inventory Tracking module in MRSware Desktop (EYOND.MRSware.Modules.Inventory) delivers enterprise-grade, multi-warehouse stock management for manufacturers' representative agencies, master stocking distributors, and factory consignment depots. It provides real-time visibility into quantity balances across physical locations, tracks inbound purchase orders versus allocated customer shipments, facilitates inter-branch stock transfers, manages audit-logged stock adjustments, and supports rapid batch updates through the full-screen Inventory Spreadsheet Form.

Fast Keyboard Shortcuts & Actions

Press Ctrl+N to add an inventory item, Ctrl+E to edit, Del to delete, or choose Inventory → Edit in Spreadsheet to launch high-speed in-cell spreadsheet editing.

Multi-Warehouse Inventory Architecture

Unlike basic CRM systems that simply store part numbers, MRSware Desktop treats inventory as a live, location-aware transactional subsystem. Key architectural pillars include:

📍 Multi-Location Stock Tracking

Track stock across primary distribution centers, regional branch warehouses, consignment customer lockers, and mobile service vans via InventoryItemLocation mappings.

📊 Four-Tier Stock Balance Engine

Maintains real-time mathematical balances: On Hand, On Order (inbound purchase orders), Allocated (committed customer orders), and calculated Available for Sale.

🔄 Inter-Branch Stock Transfers

Transfer inventory between branches or consignments with automated audit ledger generation, tracking transit timestamps, origin, destination, and adjusting balances.

⚡ Full-Screen Spreadsheet Mode

High-throughput Janus GridEX spreadsheet grid with clipboard paste, column freezing, in-cell autocomplete dropdowns, and batch transactional commits.

Permissions & Desktop Navigation

Access to Inventory Tracking is governed by MRSware's granular security subsystem:

  • Required Base Permission: MRSware/Inventory – Grants view and search access to inventory lists, stock quantities, and preview panels.
  • Sub-Permissions: MRSware/Inventory/Edit (enables Add, Edit, Adjust, Transfer, and Spreadsheet modes) and MRSware/Inventory/Delete (enables record removal).

To open Inventory Tracking, click the Inventory icon on the left Shortcut Bar or select Modules → Inventory from the main menu.

Inventory Items Table View & 3-Mode View Switching

The main inventory workspace (InventoryItemsForm.cs) supports zero-latency switching between three distinct layout views via toolbar buttons:

  • Table View: High-density spreadsheet grid displaying Part Number, Description, Principal Line, Warehouse Location, Bin Code, On Hand, On Order, Allocated, Available, Unit Cost, and Total Inventory Value.
  • Compact Cards: 2-line cards optimized for quick visual scanning of high-velocity SKUs with stock level badges.
  • Multiline Cards: Rich cards displaying full item descriptions, location breakdowns, reorder indicators, and dockable HTML preview pane integration.

Add / Edit Inventory Item Details & Bin Locations

Opening an item (AddEditInventoryItemForm.cs) allows comprehensive definition of warehouse attributes:

  • Part & Catalog Linkage: Part number, barcode/UPC, item description, and direct linkage to the Product Catalog (CatalogItemId).
  • Manufacturer Principal: Contact selector associating the line with its authorized factory.
  • Warehouse & Bin Mapping: Primary warehouse site, aisle, shelf, and bin location codes for warehouse picking efficiency.
  • Valuation & Costing: Default Unit Cost, Average Cost, Replacement Cost, and List Price tiers.
  • Reorder Parameters: Minimum Reorder Level, Safety Stock Quantity, and Standard Reorder Batch Pack Sizes.

Stock Level Calculations (On Hand, On Order, Allocated)

MRSware automatically computes available inventory using strict transactional arithmetic:

The Available Inventory Formula

Available for Sale = Quantity On Hand + Quantity On Order - Quantity Allocated

When customer orders are booked in Orders & Invoices, stock is immediately earmarked as Allocated. When factory purchase orders are issued, stock is marked as On Order until received.

Stock Adjustments & Audit Reasons

To maintain physical count accuracy, select an item and choose Inventory → Adjust Stock. The dialog prompts for:

  • Adjustment Quantity: Positive or negative quantity delta.
  • Reason Code: Standardized tracking categories including Physical Recount, Damaged / Scrapped, Customer RMA Return, Sample Demonstration Dispatched, or Initial Warehouse Setup.
  • Audit Ledger: Every adjustment logs a permanent InventoryTransaction record with timestamp, user ID, prior balance, adjusted amount, and memo notes.

Multi-Branch Stock Transfers

For rep agencies with multiple stocking locations (e.g. main warehouse vs. satellite service branches), choose Inventory → Transfer Stock:

  • Select Source Warehouse Location and Destination Warehouse Location.
  • Enter the transfer quantity. MRSware verifies available stock at the source location before approving.
  • Executes an atomic dual-entry transaction reducing source inventory and incrementing destination inventory in a single commit.

Inventory Spreadsheet Batch Entry

For high-volume monthly cycle counts or bulk catalog updates, launch the Trace & Inventory Spreadsheet Form (InventorySpreadsheetForm.cs):

  • In-Cell Autocomplete: Dropdown columns for Warehouse Locations, Manufacturers, and Product Groups.
  • Excel Copy & Paste (Ctrl+V): Paste large inventory counts directly from vendor spreadsheets.
  • Column Freezing & Sorting: Freeze Part Number and Location columns on the left while updating physical counts on the right.
  • Batch Transactional Save: Validates all modified rows and commits the entire batch in a single database transaction.

Inventory Best Practices for Reps

  • Run Monthly Cycle Counts: Use Table View filtered by manufacturer line to perform rolling physical audits.
  • Enforce Reason Codes: Never make silent inventory adjustments; always log an audit reason to prevent stock shrinkage.
  • Link to Orders & Invoices: Ensure sales order line items reference active catalog inventory items so allocation quantities update automatically.
