Administrative Security – Recycle Bin Vault & Record Restoration
The Recycle Bin Vault in MRSware Desktop (EYOND.MRSware.Modules.RecycleBin) is the system-wide administrative safety net protecting agencies against accidental data loss, rogue user deletions, and relational database corruption. Rather than permanently executing SQL DELETE statements upon user action, MRSware encapsulates deleted records in an isolated administrative vault. Authorized administrators can inspect historical deletions, audit who performed each deletion and when, and execute instantaneous relational restoration to return records and their linked child data to production.
Access to the Recycle Bin requires top-level administrative authority (Administration permission). Regular sales reps and staff members cannot access or purge vault records, ensuring complete data security.
Enterprise Deletion Safeguards & The Recycle Vault
In a fast-paced rep agency, accidental keystrokes happen – an administrator might delete a duplicate customer without realizing that customer had 45 open invoices, or a field rep might accidentally remove a major commercial project. The MRSware Recycle Bin ensures that no business record is ever lost irretrievably:
🛡️ Universal Entity Protection
Protects all core MRSware records: Companies, Contacts, Orders, Invoices, Payments, Trace Sales, Projects, Quotes, Activities, Tasks, and Sales Leads.
🔗 Relational Integrity Preservation
When restoring a parent entity (such as an Invoice or Order), all child line items, tracking numbers, and touch points are restored in relational synchronization.
🕵️ Forensic Audit Trail
Records the exact deletion timestamp, the authenticated user name who performed the deletion, and the original database primary key.
🔒 Two-Tier Permanent Purge
Permanent physical removal from the SQL Server database requires explicit administrative confirmation, preventing irreversible data destruction.
Permissions & Navigation
The Recycle Bin is strictly restricted:
- Required Base Permission:
Administration– Only users belonging to the Administrator role can open the vault. - Opening the Vault: Click Recycle Bin on the Shortcut Bar or select Tools → Recycle Bin from the main menu.
Recycle Bin Grid (RecycleBinForm)
The Recycle Bin listing (RecycleBinForm.cs) renders all archived deletions in a high-density audit grid:
| Column Header | Property Path | Data Type | Description & Operational Usage |
|---|---|---|---|
| Deletion ID | tcDeletionId | Integer | Unique sequential vault identifier for the deletion event. |
| Object Type | tcObjectType | Text | The entity classification (e.g. Contact, Company, Invoice, Project, Task). |
| Object ID | tcObjectId | Integer | The original primary key identifier of the deleted record. |
| Deleted By | tcDeletedBy | Text | The username of the user who initiated the delete command. |
| Deleted On | tcCreatedOn | Date / Time | Exact timestamp when the record was removed from the active view. |
Single & Batch Record Restoration Workflow
Restoring accidentally deleted records is instantaneous:
- Open the Recycle Bin console.
- Use the Filter or Search box to locate the deleted item by Object Type, Object ID, or User.
- Right-click the row (or select multiple rows) and choose Restore Record(s).
- MRSware un-marks the soft-delete flag, verifies foreign key dependencies, and restores the record to its active workspace immediately without restarting the application.
Security Purge & Data Retention Compliance
For organizations required to permanently expunge records (such as compliance with corporate retention policies or data minimization mandates):
- Administrators can highlight specific items and choose Purge Record Permanently.
- A verification dialog appears warning that physical SQL records will be removed irretrievably.
- Once confirmed, the record and its child relations are hard-deleted from the database transaction log.
