Email Formats

Email can be sent in one of 3 formats from MRSware.  Each format has its own special place and works a little differently.  These 3 formats are all defined standards to send email in, however, you will see variations in the way different email software displays these messages.


1. Plain Text
Plain Text is the simplest of all formats and can be read in all email clients, as well as on all mobile devices.  With the increased use of mobile devices by everyone, it has become increasingly important to make sure that your audience can read what you are sending.
Plain Text preserves tab indentation and spaces.  Plain Text does wrap lines at a particular line width -- which works fine for continuous sentences, but may cause indented lines that are very long to look odd when line wrapped.


2. Plain Text (Quoted Printable)
The Quoted Printable format encodes text and characters to preserve non-ASCII characters and line breaks much better than Plain Text.  While this format handles special characters and line breaks much better -- helping the readability of emails -- it does not preserve tabs, instead reducing them to a single space, so some indentation may be lost.


​3. HTML
HTML format is our rich text format in MRSware.  It provides a useful toolbar for adding common text formatting features like bold, italics, and tables.  HTML is the most powerful format in layout of an email, but be aware that not all mobile devices support reading HTML emails, and some email clients may display HTML differently than how you intended.

Changing Formats

When writing and email message, Users can change the format of that individual message from the "Format" menu.

To change the default format of all future email messages, go to "Tools" → "Preferences".  Under the Email section, selected on the left, choose your preferred "Default Format" on the right

Appointments, Journals, Tasks oh my! Which to use and when

​Appointments, Journals, and Tasks are all part of the greater Activity Tracking system in MRSware. While each has its own niche, they do overlap in some aspects, and purposefully so. What we are going to talk about here is our recommendations for the use of each and how we designed MRSware around there concepts... Each company, of course, is welcome to use them in the way which most fits their style, business, and reporting needs.

Journals are Call Reports, Notes, Phone Call Logs

The Journal is a versatile tool for keeping organized notes and activity records. Users can certainly keep the same information in the general Notes section of a Contact, but the advantages of a Journal entry instead are several-fold and very powerful:

  • Journals are searchable: by Contact, by Date, by Subject, by Category. This allows the User to pull a set of journals for a particular Customer to see what has been going on at that location, or pull a report for a Manufacturer to let them know the amount of activity taking place on their behalf in the field.
  • Journals are organized by date. What you get is a list that is defaultly sorted by date, resulting in a chronological order of touches with the contact. This makes it very easy to keep up to date on a wider range of contact activities, as well as provides a quick way to look at a contact before a planned visit or call. Additionally, the Journals are intermingled by date with other activities in the Activities tab, so that you get the overall, chronologically-ordered picture of what is taking place.
