There are a couple of different archiving options in the wizard:
1. "Archive all folders according to their archive settings."
The default is to archive messages older than 6 months. You can check these settings by right-clicking on a folder, such as the Inbox, and selecting "Archive Rules". All messages that are archived with this option are moved (deleted) from the mailbox to the archive file -- i.e. there is no need to then additionally delete anything from the mailbox.
2. "Create archive only, do not delete any messages from the server."
This option follows those same Archive Rules, but does not delete the messages from the mailbox when it is done. After it is done, you would then manually delete anything you didn't want in the mailbox any longer.
3. "Export the entire mailbox to an archive, do not delete any messages from the server."
This option creates a copy of all messages in the mailbox, placing those copies in an archive file. Use this option to create a complete backup copy of the mailbox, regardless of any Archive Rules that are set on individual folders.
From a created archive file, it is possible to browse through the folders, just as they are set up in the mailbox prior to archiving. Any messages in the archive can be selected or multi-selected and copied back into any of the User's mailboxes as needed. This last function, the ability to move the messages back into a mailbox, is handy if you find the Archive Rules were set a little too recent-to-now, or if you just find some items that would be better to leave more readily-available for future reference.
System Administrators can archive any User's mailbox from the Mailboxes listing in System Administration. Right-click on a Mailbox in the list and select "Archive...". Doing the archiving on behalf of each User will certainly make sure it gets done promptly, however, you will want to make sure to get the archive file to each User so that they have it on their computer to be able to access it when needed. A very good way to do this is to share the file with them via File Share; after they pick up the file from File Share, the archive can be removed from File Share to free up space if needed.

This will make the process go faster and reduce error. 2) The Maximum size of an archive file is 2 GB. If a mailbox is larger than this, reduce the size of messages first by deleting attachments or archive into separate files by adjusting the Archive Rules to do a smaller time period at a time.
