Retiring Reports

4/8/2013

We are removing from circulation some older reports that have been replaced by new versions, and are otherwise unneeded, redundant, or more confusing than their replacements.

Below is listed each report being retired, followed by the report that replaces it.
A. Customer Sales By Rep

This report was typically run for an individual rep to see his customers and comparison of sales for last year to the current year.
Why the replacement reports are better...  New options to show just customers purchasing in the current time frame creates more pertinent reports.  The selection of summary or details in the customer section is more straight-forward and less redundant in the new reports, further reducing unnecessary page count.

Replaced By:
  1. Sales Summary, when just Customer Summary or Customer Details section is desired.
    • Use Sales by "Customer", Details by "Principals" for each line being purchased by a customer.
    • Use Sales by "Sales Rep", Details by "Customer" to show each customer under their assigned rep/territory.
  2. Sales Rep Sales Summary, when run for just one sales rep.
  3. Agency Sales Summary or Sales Summary, when the comparison of sales reps/territories section is desired.

B. Principal Sales By Rep

This report showed a breakdown of sales this year to last by each principal for each sales rep.
Why the replacement reports are better...  The new reports allow for finer control of looking at the Principals for 1 Sales Rep/Territory, or all sales reps as a total for the agency.  The Sales Summary report allows more aggregation options for Users to isolate what they are interested in seeing.

Replaced By:
  1. Sales Summary for Principal summary and Sales Rep-Principal details sections.
    • Use Sales by "Sales Rep", Details by "Principal" to show a breakdown of sales for each principal under each rep.  This is equivalent to the retire reports layout.
    • Use Sales by "Principal", Details by "<none>" or "Customer" to see each customer listed under their principals, or just the principal summary (typically used when filtered for a single rep/territory).
  2. Agency Sales Summary for Principal Summary and Sales Rep Summary sections on one report.

C. Principal Summary by Customer

This report showed the sales this year vs. the sales this year for each Principal, grouped by the customer.
Why the replacement reports are better...  There are more options for filtering the report data for more concise reports.  The new reports have the ability to filter out customer that have not purchased anything or are inactive.

Replaced By: Sales Summary
  • select Show Sales by: "Customer"
  • select Show Details by: "Principal"

This report will typically be quite long.  It is recommended to use other parameter options to further filter this report to a more usable sub-set, or work with the same information in the Sales Summary cube in Data Analysis.

D. Principal Summary by Rep

This report showed the sales this year vs. the sales this year for each Principal, grouped by at combination of the sales rep assigned at the time of sales and currently assigned to the account.
Why the replacement reports are better...  There are more options for filtering the report data for more concise reports.  The new reports have the ability to filter out customer that have not purchased anything or are inactive.  The new reports have a more clear separation of sales rep assigned to the customer vs. the sales rep at the time of the sale.

Replaced By: Sales Summary
  • select Show Sales by: "Sales Rep"
  • select Show Details by: "Principal"

E. Sales Agency Summary

This report shows the breakdown of sales by Principal; and then, separately, the breakdown of sales by Sales Rep.
Why the replacement report is better...  There are more options for filtering the report data for more concise reports.  The new reports have a more clear separation of sales rep assigned to the customer vs. the sales rep at the time of the sale.

Replaced by: Agency Sales Summary

F. Sales Summary By Principal

This report shows sales by Principal, then Sales Rep for that Principal, then Customer for each Sales Rep.
Why the replacement report is better...  This tends to be a very large reports since customer information is repeated per manufacturer section -- the replacement report produces a much more concise and readable report, with more filtering options.  The new reports have a more clear separation of sales rep assigned to the customer vs. the sales rep at the time of the sale.

Replaced by: Sales Summary
  • select Show Sales by: "Sales Rep"
  • select Show Details by: "Customer"
  • select Principal: <the desired principal>

The above options in the Sales Summary report will generate a report for each sales rep.  Since the report can only do one sales rep at a time, if more than one is desired then Data Analysis is where it should be run.  Either the Sales Summary Analysis or Sales and Commission Analysis cubes can show all of the sales reps, then customers, then principals for each.

G. Sales Summary By Rep

This report shows a breakdown of sales grouped by Sales Rep, then Customers for that Sales Rep, then Principals that each Customer is buying from.
Why the replace reports are better...

  • select Show Sales by: "Customer"
  • select Show Details by: "Principal"
  • select Sales Rep on Customer: <select the Sales Rep for this report>

The above options in the Sales Summary report will generate a report for each sales rep.  Since the report can only do one sales rep at a time, if more than one is desired then Data Analysis is where it should be run.  Either the Sales Summary Analysis or Sales and Commission Analysis cubes can show all of the sales reps, then customers, then principals for each.

All of the reports listed can also be accomplished by using either the Sales Summary Analysis or Sales and Commission Analysis cubes in Data Analysis.

Larger report time-frames, such as running an annual report for sales breakdown, are much better accomplished in Data Analysis.

This is due to Data Analysis' ability to sort and filter while working with the data directly -- so that the User can see how they are filtering as they apply each change.

Data Analysis also has a wider workspace to use since it is not necessarily designed to fit on the printed page.
